Advising Students Who Want to Take a Course During the Summer from Another Institution

Guest students are students currently enrolled and in good standing at one college or university and taking courses at another college or university to fulfill the home institution's degree requirements.

If you are advising such a student, assist the student by completing the following steps:

Step 1: Help the student find an equivalent course. Use the Search for Equivalencies function to find a course at the selected institution that is equivalent to the requirement the student needs to fulfill at the home institution.

Step 2: Tell the student to check with an advisor or registrar to determine the institution's academic and transfer policies.  Knowing the details of policies at both the home and transfer institution ahead of time may save the student time, money, and frustration. Remember that placement testing or prerequisite courses may be required at either institution so ask the student to contact an advisor at the selected institution to determine if there are any requirements.

Step 3: Ensure that the student obtains written approval to take the course. Students will most likely need to receive written approval from their home institution before scheduling courses at the transfer institution.

Step 4: Inform the student that applying for admission may be required. At some institutions, students must apply for admission before registering for classes. A call to the transfer institution’s Admissions Office or the Office of the Registrar will help you determine whether admission is required.

Step 5: Make sure the student completes the appropriate forms. Some institutions require students to complete course approval forms before registering. Check with the transfer institution and tell the student to complete any forms that may be required.

Step 6: Tell the student to register for classes and pay tuition and fees on time. Refer the student to the transfer institution's website and catalog for registration information and payment deadlines.

Step 7: Discuss financial aid options with the student.  Students are generally not eligible for financial aid through the transfer institution. However, a student may be eligible for financial aid through his or her home institution. Suggest that the student contact the Financial Aid Office at the home institution.

Step 8: Tell the student to request an official transcript to ensure that the credit is properly transferred to the home institution.

Step 9: Suggest that the student contact the appropriate office at the transfer institution to determine if the student will need a photo ID.  Students may also find it beneficial to contact the appropriate office at the new institution for instructions on how to obtain a parking permit.
